Benefits Administrator

The Benefits Administrator is responsible for handling and planning the day-to-day operations of group benefits programs (group health, dental, vision, short-term and long-term disability, life insurance, COBRA administration). The Benefits Administrator also provides excellent customer service and quality benefits support, as well as designs employee benefits plans and provides analytical and technical support in the delivery of the benefit programs. This person will also be responsible for 401k administration in partnership with our vendor, Fidelity.

What will I do?

  • Serve as primary contact for plan vendors and third-party administrators. Coordinate transfer of data to external contacts for services, premiums and plan administration. Evaluate and revise internal processes to reduce costs and increase efficiency. Document and maintain administrative procedures for assigned benefits processes.
  • Ensure compliance with applicable government regulations. Ensure timeliness and accuracy of required reporting and fees.
  • Deliver excellent customer service for all employee inquiries related to health & wellness benefits as well as manage the new hire benefit enrollment periods.
  • Manage all proactive health & wellness initiatives including a calendar of learning with subject matter experts to deliver on topics of interest.
  • Coordinate daily benefits processing and benefits payments. Handle enrollments, benefits payments, benefit claims, COBRA, benefits terminations, changes, beneficiaries, disability, accident and death claims. Maintain employee benefits files, maintain group benefits database and update employee payroll records.
  • Gather employee data, process billings and prepare allocation of payments for different branch/department/company.
  • Perform reconciliation for variance between benefits enrollments, benefits payments and payroll deductions.
  • Understand the company benefits program and explain to employees. Provide training and support to employees or plan participants. Perform benefits plan audits. Prepare, collect and organize data for actuarial assessments.
  • Handle all inquiries related to 401k match, employee contribution questions, loans and other withdrawals, as well as all compliance related activities.
  • Other duties as assigned by supervisor.

Requirements for the role:

  • Bachelor’s or associate degree in HR or related field.
  • 3+ years of experience in the overall administration of a third party administered plan that services multiple locations/business units.
  • Experience in providing customer service or responding to customer inquiries.
  • Knowledge of state and federal regulations regarding retirement benefit filings and compliance requirements both in place and pending.
  • Knowledge of ERISA, COBRA, FMLA, FLA, FLI, ADA, Section 125, Workers Compensation, Medicare, Social Security, and DOL requirements are a plus.
  • The ideal candidate will be up to date on all rules and regulations pertaining to pension/benefits administration (COBRA, FMLA, FLA, FLI, ADA, ERISA, Section 125, Workers Compensation, Medicare, Social Security, and DOL requirements).
  • Strong Microsoft Office Suite proficiency with Excel, PowerPoint, Word and Outlook. Strong Microsoft Excel skills are required.
